We are currently looking for an energetic and dedicated Administrative Assistant to join our growing team in Montreal.

Key responsibilities:

  • Perform various recurring administrative tasks such as shipping of documents, equipment or correspondence, entering data, scanning or filing, requisitioning equipment or supplies, setting up workstations, etc.
  • Schedule appointments and meetings manage calendars and ensure that all participants are informed and prepared.
  • Provide support with travel and accommodation arrangements.
  • Assist with all incoming business; screen, prioritize, and delegate action for incoming calls, mail and email.
  • Assist with the translation of various documents from English to French and vice versa.
  • Maintain and monitor public meeting rooms and arrange for IT resources and other materials in support of a smooth and efficient meeting facilitation as needed.
  • Communicate and collaborate with different departments internally to optimize process and office activities.
  • Manage the office environment, including order supplies, organize files, as well as coordinate and resolve issues with internal and externals vendors and service providers in collaboration with other members of the team.
  • General office maintenance and follow-up communication regarding all matters.
  • Assist in event organization and teambuilding activities.
  • Other related tasks.

Qualifications:

  • Minimum post-secondary education and at least 3 years of hands-on administrative support experience;
  • Proficiency in MS Office (Word, Excel and PowerPoint), Google suite, calendar a must;
  • Knowledge of operating standard office equipment;
  • Highly organized and able to manage workflow efficiently without continuous supervision;
  • Excellent written and verbal communication skills (French and English). (This position involves daily collaboration with suppliers, teams and partners located outside of Quebec, requiring a strong knowledge of English by the candidate).
  • Great research skills, as well as ability to prioritize projects;
  • Autonomy, foresight, and sense of urgency;
  • Good organization and problem-solving skills;
  • Attention to details and sound business judgment;
  • Team player with a positive attitude.
